This website

This website does not use cookies, analytics or tracking of any kind. The only personal information it asks for is what you choose to give in our enquiry form.

Our hosting provider keeps short-lived server logs (such as IP addresses and pages requested) to keep the site secure and working. They are deleted automatically after a short period, and we do not use them to identify visitors.

When you contact us

If you email us, fill in our enquiry form or book an introductory call, we use your name, contact details and anything you tell us about your practice to reply and to prepare a quote. Enquiry form messages reach us by email, sent through our email provider. Our lawful basis is our legitimate interest in responding to enquiries, or taking steps at your request before entering into a contract.

We keep enquiry correspondence for 12 months and then delete it, unless you become a client.

Patient information we handle for practices

When we provide administration services to a practice, the practice is the controller of its patients' information and we act as its processor, under a written data processing agreement. We only use that information to carry out the practice's instructions.

Patient information is held in the practice's own practice management system (PMS), and in our own secure systems for handling patient messages and practice documents.

We use AI to help draft replies to routine patient messages, such as booking requests. To do this it reads the message being replied to. It never gives clinical advice, nothing it writes is sent automatically, and a person on our team reviews every draft before it is sent.

Patients who have questions about their information should contact the practice directly.

Who we share information with

We use a small number of trusted suppliers to run our service: website and IT hosting, secure database and file storage, email services, an AI service that helps draft routine replies, the messaging platforms patients choose to contact practices through (such as WhatsApp and Instagram), and internal team communication tools. Each is bound by a contract that requires them to protect personal information.

Practices we work for receive a full list of our suppliers as part of our data processing agreement.

Our main systems store information in the European Union, which UK law recognises as protecting personal information to the same standard as the UK. Some of our suppliers are based in the United States. Where they process information there, the transfer is protected by the UK–US data bridge or by the UK's International Data Transfer Addendum.

How we protect information

Access to personal information is limited to the people who need it for their work, and our team is trained in data protection and confidentiality. Information is encrypted when it is sent and when it is stored, each person on our team has their own account with access only to what their role needs, and this website uses no cookies or tracking.

Your rights

Under UK data protection law you have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it, delete it, restrict how we use it or object to our using it. To make a request, email us at the address below. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put things right first.
